Office Manager to Anum Qaisar MP

Anum Qaisar MP is looking to employ a full-time Office Manager based in her constituency office. This is an exciting opportunity for an experienced and highly capable individual to join Anum’s constituency team to support her work as the Member of Parliament for Airdrie and Shotts.

The successful candidate must be able to demonstrate previous experience of managing a staff team, and showcase excellent administrative and organisational skills, as well as the ability to prioritise their workload.

It is expected that a significant proportion of time will be spent to support Anum’s constituency work so the candidate should demonstrate experience of casework (not necessarily in a Parliamentary capacity) – this will be helpful to your application.

Position: Office Manager

Hours: Full-time – 37.5 hours per week

Salary: In line with IPSA payscales, and dependent on experience. You will also benefit from a 10% employer’s pension contribution.

Location: Airdrie and Shotts constituency, with occasional travel to Westminster.

Responsibilities

  • Carrying out general office administration and acting as front of office for enquiries.
  • Responding to all incoming correspondence while professionally managing each enquiry within agreed timescales.
  • Coordinating, tracking and monitoring the handling of enquiries and ensuring they are dealt with timely and professionally.
  • Maintaining office records and compliance with data protection.
  • Maintaining filing system and managing records.
  • Ensuring compliance with data protection legislation and GDPR requirements.
  • Acting in a supervisory capacity for the team and oversight of office maintenance.
  • Managing office budget.
  • Managing constituency accounts, premises and equipment.
  • Managing staff and reviewing their performance.
  • Overseeing health and safety and staff wellbeing.
  • Following all media outlets to capture relevant developments as they happen.
  • Maintaining information systems to support communications.
  • Producing materials that effectively convey my aims to the general public and media.
  • Keeping up to date with current media developments.
  • Building and maintaining relationships with stakeholders.
  • Corresponding with constituents and local campaign groups.
  • Identifying potential media opportunities and acting as a media contact.
  • Identifying forthcoming events, in turn promoting my work.

Essential Skills and Experience

  • Have excellent written, verbal and IT skills with accurate attention to detail.
  • Have experience of managing staff with the ability to nurture and build effective teams.
  • Be empathetic with the ability to build and maintain relationships with a variety of stakeholders.
  • Be confident in managing budgets for staff resources and office provisions.
  • Have a flexible and adaptable approach, being able to use good judgement and work on own initiative.
  • Be well organised with the ability to prioritise competing workloads.
  • Be capable in monitoring media developments and sourcing information from a range of channels.
  • Be comfortable being in a front facing role explaining regulations such as GDPR to the general public.
  • Clean UK Drivers licence required.

Desirable Skills and Experience

  • Experience of working directly with the public.
  • Experience of working within government or other organisations which deals with matters relating to government policy.
  • Ability to interpret information gathered and provided from a variety of sources in order to provide clear and concise advice / responses.
  • Knowledge and understanding of Reserved policy areas.
  • Knowledge of the Airdrie and Shotts constituency.
  • Experience of event planning.
  • Experience of social media.

The successful candidate will be required to comply with the Baseline Personnel Security Standard, undertaken by the Members’ Staff Verification Office (MSVO).
